Personal Information Protection Guideline

PT. OS Selnajaya Indonesia (hereinafter referred to as the “Company”) fully acknowledge the importance of Personal Information and believe it is the Company’s social responsibility to protect Personal Information appropriately.
Thus, conforming to protect the Personal Information, all of the Company’s officers and employees shall observe laws, regulations and other codes concerning the protection of Personal Information throughout all of its business activities, and the Company as a whole shall commit to the following principles with an aim to continuously manage and improve its Personal Information protection system:

1. Acquisition and Use of Personal Information

The Company shall obtain Personal Information through legitimate and just means, and use the obtained Personal Information within the scope of the purpose of use stated at the time of acquisition, and within the scope necessary to carry out operations. The Company shall also disclose a notice concerning the acquisition and use of Personal Information titled “Handling of Personal Information.”

2. Observation of laws, regulation and codes

In handling Personal Information, the Company shall observe laws, regulations and other codes applicable to the protection of Personal Information.

3. Implementation of Security Measures

The Company shall maintain accuracy of Personal Information and implement security measures to prevent unauthorized access to Personal Information, or divulgence, dissipation, loss and manipulation of Personal Information, and shall commit to ensuring security concerning Personal Information management.

4. Respecting Rights Concerning Personal Information

In the event that an individual seeks disclosure, amendments, additions, deletions or suspension of use of his or her Personal Information provided to the Company, the Company shall respect the rights concerning Personal Information and respond promptly. Also, in the event that an individual raises a complaint regarding his or her Personal Information provided to the Company, the Company shall respond with sincerity.

5. Establishment and Implementation of Personal Information Protection Rules

The Company shall establish Personal Information management rules in line with the principles of laws, regulation and other codes concerning Personal Information protection, and shall have all executives and employees observes these rules. The Company shall also review these rules in a timely and appropriate manner, and continuously facilitate improvements of these rules.

Handling of Personal Information

The contents of this Handling of Personal Information are adopted from the determination of General Manager in charge of Business Management Division of OUTSOURCING Inc. based on the Personal Information Protection Guideline with necessary adjustment based on the Company’s policy and the prevailing regulations in the Republic of Indonesia.
The terms used in this document are in accordance with definitions provided in the Personal Information Protection Guideline.

1. Appropriate Protection of Personal Information

PT. OS Selnajaya Indonesia (hereinafter referred to as the “Company”) appropriately and securely manages Personal Information obtained, taking protective measures to prevent unauthorized access to Personal Information by external parties, or unauthorized use, loss, destruction, manipulation and divulgation etc. of Personal Information.

2. Purpose of Use of Personal Information

1. Personal Information, excluding Specific Personal Information, obtained by the Company shall be used within the scope of business specified in the Articles of Incorporation and its amendment, and in the event of providing Personal Information to a third party, it shall be handled appropriately after clearly stating the objective of use within a justified scope and obtaining consent from the concerned individual.
2. Specific Personal Information obtained by the Company shall be used for preparation of payment records for remuneration and fees etc., preparation of procedural documents for social and labor insurances, or for other purposes within the scope specified in laws and regional regulation.

3. Management of Personal Information

1. Personal Information, excluding Specific Personal Information, shall be managed rigorously and properly in line with Personal Information management rules.
2. The management of Specific Personal Information shall be managed internally by the Company. Such information shall be managed rigorously and properly in line with laws and regulations etc. concerning Specific Personal Information and with the Company’s Personal Information management rules.

4. Use of Personal Information

The Company shall not use the Personal Information it retained for purposes other than those stated in Section 2 above.
Also, Personal Information that is no longer used shall promptly be deleted and disposed of in accordance with specified procedures.

5. Provision of Personal Information to Third Parties

The Company shall not provide the Personal Information it obtained to third parties, except in the following cases:

1. In cases where provision is based on laws or regulation, or in cases where a court or other governmental organization with legitimate authority demands lawful disclosure.
2. As for Personal Information excluding Specific Personal Information, in cases where the concerned individual has consented to other specific objectives.
3. In accordance to business activity of the Company that mentioned in Article of Incorporation and its amendment.

6. Outsourcing of the Handling of Personal Information

In the event that the Company outsources the handling of Personal Information to a third party, the Company shall carefully select an entrusted party under the condition that it has in place and executes an information security management system which ensures appropriate protection of Personal Information, and shall conclude any necessary contract to ensure that the entrusted party observes information security management measures.
The Company shall also implement appropriate supervision of the entrusted party in the area of Personal Information protection.

7. Suspension of Use and Deletion etc. of Personal Information

To request disclosure, amendment, addition, deletion or suspension of use of Personal Information provided to the Company, please send to info@os-selnajaya.com.Upon confirming identity, Company shall take necessary measures within a reasonable period of time.
